Yearbooks FAQs

General

Who is the school's Gpi yearbook contact?

Our yearbook team consists of several staff members who can answer questions throughout the yearbook process. The best form of communication will be through our yearbooks@geskusphoto.com email. This email is for school communication only.

Does the yearbook cost more if Gpi creates the yearbook?

As long as Gpi takes your fall school photos, the yearbook will not be an additional cost for us to create. If we do not take your school photos, an appropriate cost will be calculated.

Can yearbook pages be increased?

Yearbook pages are usually set between the sales person and the school during the contract process. We want this information to be all set before any flyers and/or yearbook sales start. Upon discussion, we will either be able to increase the page count or you will have to wait until the following year to be able to make this change.

Can there be special requests for the yearbook?

Our team does follow a particular format when creating yearbooks. Due to the volume of yearbooks that our team builds, it would, unfortunately, be quite difficult and a time restraint to produce all yearbooks in a timely manner. Upon discussion, we can evaluate what is acceptable and what is not.

What if there is an issue with the yearbook?

We strive to eliminate errors and the goal is to create the best yearbook for students and staff. If errors do occur, we will work with parents and schools to come up with an appropriate solution.

Can we create our own yearbook?

Yes. We offer an online, user-friendly yearbook program. If your school is set up to be a school-created yearbook, you will receive a welcome email from our online division on how to create the yearbook. This email generally comes in the fall or upon request. If you want to get a head start on your yearbook, you may contact our yearbook staff anytime.

Can we create our own yearbook cover?

Yes. Our yearbook team loves to see the creative side of students and staff. We encourage schools to create a yearbook cover that best represents the school. If you would like to create your own yearbook cover, we do offer a guide to answer any questions you may have.

How do you submit changes to a hard copy proof?

Schools are always provided with a physical yearbook proof. Generally, this will be mailed to the school. Note that if you receive Composites (class pictures) the physical yearbook proof still will need to be reviewed. You can either mail or email this back to us. If you do email the corrections in, please review the scans to verify nothing is cut off or scanned in wrong. If you design your own yearbook a physical yearbook proof can be mailed out for review or you may opt out of receiving it. All yearbooks will need to be signed off on before going to print.

How many yearbook proofs do we receive?

Generally, we will only send out one physical yearbook proof to the school and will only email a secondary one if we have to make a significant amount of changes or upon request from the school.

Yearbook Candids & Headshots

Will my student’s retake photo be used in the yearbook?

Yes. Our policy is to always utilize the retake photo for all students and staff. If a different photo is preferred, that should be communicated with our office and school to ensure that it can be used in the yearbook. This information will also need to be presented to all parties early enough in the year so we can make this change.

Some students/staff missed picture day. Can headshots be submitted? Can last year’s photo be used?

Our policy is to limit headshots being submitted and from us pulling a previous year’s photo. This is to make sure an up-to-date Gpi photo is being used in the yearbook. However, we do know that things happen that can prevent someone from getting a photo taken. Upon discussion, we will come up with a decision with the particular school that is inquiring.

Does Gpi come and take candid photos?

If you are slated to have Gpi come take candids, we will contact you to schedule those. The majority of our elementary schools will have them done on retake day, while middle and high school will usually be scheduled at a different time.

Are schools able to submit their own candids?

Yes, schools may submit candids of their own. We do provide a yearbook candid submission kit that includes what candids can be submitted and how they can be submitted. Not all candids may be utilized in the yearbook due to space. Deadlines will apply and be discussed with our team.

When will we receive the link to upload candid photos?

If you are using Dropbox, Gpi can provide you a link upon request, or if you are slated to receive that in our system. If you are using an alternative way, like Google Drive, One Drive, or Flash Drive, to submit candids, that can be discussed with our team on how those will need to be submitted.

When is the deadline for submitting candid photos?

All candid submissions must be submitted by the deadline that Gpi will give your specific school upon discussion.

Yearbook Ordering

When can we start selling yearbooks?

Generally, yearbooks can be sold throughout the school year. “In Package” and “Package 14 Only” yearbooks can be sold at any time as they are offered as soon as fall pictures start, while our Separate Sale yearbooks are sold depending on the school. If you do not receive the ordering information, please contact us as soon as possible.

Do you provide yearbook flyers?

Yearbook flyers are a rare commodity, as we prefer ordering to be done online. We find online ordering to be more efficient and less likely for an order to get missed. However, upon discussion, it can be something we could provide to the school or provide a more suitable option.

Is there a multi-student discount?

We do not offer a multi-student discount. Prices have already been set between a prior discussion with the school and sales representative.

Does every staff member get a yearbook?

Not every staff member will receive a yearbook unless it has been discussed with your sales representative and you are slated to receive one for every staff member. Complimentary yearbooks for classroom teachers are determined by package sales and vary by school.

When will we receive the yearbook ordering link to send out to parents?

School-specific ordering links will be sent mid-fall or later for schools to send to parents and staff. This link stays active for our Soft Cover yearbooks until we switch over to the next school year, while our Hard Cover and Perfect Bound options will become inactive online.

Our school has a Hard Cover and/or Perfect Bound cover option, is ordering different?

Ordering is relatively the same for all of our yearbooks, however, there is an order deadline for the Hard Cover/Perfect Bound yearbooks. Due to the assembly process of these books, once the finalized yearbook is sent to print, the ordering link is turned off. We do print extras knowing that there could be late orders, but they are sold on a first come first serve basis. Parents and/or schools may inquire to see if there are any alternative ways of ordering at that time.

Is there a late yearbook link?

Each specific school yearbook link will remain the same. Once we go to print a yearbook team member will switch the status over from pre-order to late orders.

Is there a difference between Pre-Order yearbooks and Late Order yearbooks?

Yes. Pre-ordered yearbooks are classified as any order made before printing. These yearbooks will be shipped collectively to the school. Late Order yearbooks are classified as any order made post-printing. This means once we go to print, the link will be switched to Late Order Status. At that time the yearbook retail price will remain the same, but an additional $6 will be added for a shipping fee to cover the cost of shipping to the home address.

When are late yearbook orders mailed to the home?

Per our policy, we will not ship out yearbooks until we hear from the school that yearbooks have been distributed. This prevents a few students from receiving their yearbooks before the bulk of the other students do.

I just remembered that I needed to order. Can I still get a yearbook?

Yes. The yearbook ordering process can vary by school. Generally, orders can be placed by visiting our website or calling our customer service team. If schools are handling all yearbook orders, then parents will have to contact said school.

What if I can’t remember if I ordered a yearbook?

We often provide a list of orders to the school. Checking in with them first is always an option. Otherwise, contact our customer service by email or phone if you are inquiring about an order. We can provide you with information on whether an order was placed or not. Once that information is provided, you can either visit our website or call our customer service to place an order.

What if I paid for a yearbook and did not receive it?

Contacting our customer service team is the best way to inquire about a potential order. Upon contacting us we will ask for your order number/order information. The progress of the yearbook process will determine what the next step will be. That information will be provided by customer service at the time of the phone call.

Can I order a previous year's yearbook?

We do often keep backdated yearbooks in our system for possible future printing. If we have produced a yearbook for your school in the past, you can inquire with our office to see if printing one is possible. This can be done via phone call or emailing the Gpi Customer Service Team.

Will we get a list of students who ordered a yearbook? When will that be coming?

We do provide schools with a generated ordering list. This can be requested at any time during the yearbook process to see where orders are at. The list will consist of any staff and students who have ordered at that time. Once the yearbook is ready to go to print, a finalized list will be created and will be included with the yearbooks upon delivery. PDF and Excel versions are available upon request.

Once the proof is approved by the school, how long before yearbooks are printed and delivered?

This will be determined by the binding of the yearbook and what is queued in our printshop at the time of final print. We ask for 3-6 weeks of print and delivery time, although you could receive the yearbooks sooner. We do our absolute best to make every deadline.
